Reaching a larger audience

The new 'normal'? Hybrid events look like they are here to stay.

The birth of hybrid events means that you can now have the best of both worlds.
Attend in-person or watch along in the office (or on the sofa in your PJ's).

The Project

Studio 53 were asked to be part of a hybrid event in London, managing both the in-house and online aspects of the production.

The key points:
  • In-house AV solution for attendees in the room for presentations and audience Q&A
  • Fully branded online multi-camera production for viewers watching on a live stream
  • Sponsor's advert to be played simultaneously in the room and online
  • A total of 9 presentations, one speaker dialling in via Zoom, and a one-on-one interview

Challenges

There were a number of challenges to overcome with a production such as this. Careful pre-production planning meant that we were in the best shape ahead of the live day! Site recce's, branded picture-in-picture designs and test broadcasts allowed us to rest easy and alleviate any worries that the client may have. We needed to create different setups for each of the production elements: Speakers in the room, speakers dialling in and sponsorship adverts running.

Due to COVID-19 restrictions, on the morning of the production one of the speakers had to self isolate, meaning that there would now be an unplanned dial-in via Zoom for his presentation. Thankfully, we had come prepared for such an instance. A quick rerouting of some cables and use of various capture devices, we were able to host the speaker, communicate with them in the virtual waiting room, and then seamlessly broadcast them live for the audience both in the room and online. And all it required was making sure that Dave's coffee supply was uninterrupted!

The End Product

The event was a great success. Final recordings of the day were delivered to the client for them to host on their website. We thoroughly enjoyed our time working with everyone involved.
